Planning to use EAD from H1B

My H1B is currently expiring soon and I plan to use approved EAD for work. I am with the same employer who sponsored GC. If I use EAD for work, what forms I need to fill and take care. I appreciate your suggestions because my HR people are not well informed and not many foreign workers at my institute.

You need to update/fill a new I-9 form using the EAD as your eligibility to work.

please can you tell when it will be considered that EAD is used-i mean just by applying for EAD or when EAD is used for work instead of H1B?

When you use it for work by filing out an i9 form and giving it to your HR deparment.
