KCC response time? Back and forth unnecessarily!

Hey all....:confused:

While I can appreciate KCC staff may be really busy, they could get rid of one simple piece of inefficiency!

It's been 7 weeks since we mailed our application and about ten days ago I decided to email them to get them to confirm receipt. I wanted to ensure all necessary information was put into the email...

It states: "If it should be necessary to contact the Kentucky Consular Center about your case, you must always refer to your name and case number as they appear below. Your case number should be clearly written in the upper right hand corner of all documents and correspondence sent to the Kentucky Consular Center."

It can't be made clearer than this.

Well ... I not only put down names and case number, but also preference category, foreign state chargeability and post (embassy) - the essential info from NL1. I even put the case number again into the right hand corner of the email and into the subject line.

Seconds after submitting the email:
"The Kentucky Consular Center (KCC) has received your email. [...]
For inquiries about specific cases, please ensure that you have included
your case number, first and last name, and date of birth with your
inquiry. If this information is not provided or is inaccurate, KCC will
be unable to process your inquiry"


Hm....DUH! Why not mention that essential piece of info beforehand?

So...I resent my email with the DOB included within minutes of getting that autoreply message. (yes, in what was deemed a correct format all through the application process MM/DD/YYYY - moreover, in that first autoreply, they do not even state a particular format).

Then....waiting for over a week.

Last night.....getting a reply:

"Thank you for your inquiry.

When inquiring about the status of your case, you must provide your full name, complete case number, and date of birth in the following format (MMDDYYYY). For security purposes, KCC cannot reveal any information regarding your case if you cannot provide all the required information."


Argh......I guess they have not seen my second email at that point, so I was expecting another reply to arrive soon after, based on my updated info. But no further reply arrived, so I guess they realized that my email arrived twice (by the same subject line) and may have deleted my second email, thinking it was sent twice by accident?

So I have replied to this email from them, pointing out the fact that I had back then sent a separate email right after receiving the autoreply with the DOB info requirement, but now I also added all info again.

I guess it's waiting another week again to have this simple request fulfilled.

Just frustrating to see how they put effort into explaining in their autoreply messages that they need the DOB to proceed with any request, while they obviously do not realize that the very reason WHY people don't add it, is because they didn't state beforehand that it is a requirement.

Edit: No surprise that mistakes are made...I now know they also want a particular format of the DOB...it's easy to dismiss the requirement of leaving out the slashes between the month/day/year ... most unusual.

Oh man...if it's THAT important and in such an unusual and particular format (without the slashes) - then doesn't it illustrate how important it is to point this out beforehand rather than just ask for case number and name?
 
Just phone. I found emails from them utterly useless. One phone call, you're done.

The same happened to me on the first email I sent - I 'forgot' to put my DOB. I sent a second email a few minutes later, with the right format. I got a reply a couple of weeks later, confirming the receipt of my forms. Don't worry. You can also call them, but you may prefer a confirmation in writing. Just be patient :)
 
Thanks guys. Haha...I just received the confirmation email (and I had my DOB in MM/DD/YYYY with the slashes!). All good now. I still stand by my suggestion for them to update all info that states what info they require for each contact you make with them. (i.e. not just name and CN, but also the DOB in whatever format.
